Privacy Policy
This Privacy Policy explains how Dylan Hoyt CPO, a DBA of Oversight LLC ("we," "us," or "Dylan Hoyt CPO"), collects, uses, and protects information you provide when you visit dylanhoyt.com, contact us, or book our pool and aquatic services.
We don't sell, rent, or share your information with third parties for marketing. The only third parties we use are the operational tools required to run the business — payment processing, email delivery, scheduling, and form handling — each of which is identified below.
01Information We Collect
We collect only the information needed to schedule, deliver, and bill for your service. That includes:
- Identifying information — your name, address, phone number, and email address, provided by you when you submit an inquiry, book a service, or sign a contract.
- Property information — details about your pool or hot tub (size, type, equipment, address) needed to quote and perform work.
- Payment information — handled entirely by Stripe (see Section 03). We do not collect, store, or have access to your card or bank account numbers.
- Communication records — emails, text messages, voicemails, and form submissions you send to us, retained as service records.
- Website analytics — anonymous, aggregated visit data (pages viewed, browser type, approximate location) collected through our website host. No personally identifying information is included.
02How We Use Your Information
Your information is used solely to:
- Respond to inquiries and provide quotes
- Schedule, perform, and document service visits
- Process payments through Stripe
- Send service reminders, opening/closing notifications, and invoice receipts
- Maintain records required for business, tax, and insurance purposes
- Comply with legal obligations (e.g. lien filings, subpoenas, court orders)
We do not use your information to send marketing communications from third parties, and we do not sell, rent, or trade your data.
03Payment Processing — Stripe
All card and bank payments are processed through Stripe, Inc., a payment processor certified to PCI DSS Level 1 — the highest level of payment security currently available. Dylan Hoyt CPO does not collect, store, or have direct access to your full card number, CVV, or bank account numbers.
When you pay through a Stripe-generated link or invoice, your payment information is transmitted directly from your browser or device to Stripe's servers using industry-standard encryption. Stripe's privacy practices are described at stripe.com/privacy.
04Other Service Providers
To run the business we use a small number of operational service providers, each bound by their own privacy practices:
- Squarespace — website hosting
- Formspree — contact form delivery
- Google Workspace — email delivery, calendar, and appointment scheduling
- Stripe — payment processing
These providers receive only the information needed to perform their function. They are contractually prohibited from using your information for any other purpose.
05Cookies & Tracking
Our website uses only essential cookies required for the site to function (session cookies, security tokens, form anti-spam tokens). We do not use advertising cookies, third-party trackers, or cross-site tracking technologies.
If you submit a form, your browser may temporarily store form-state cookies; these are cleared when you close the browser.
06Data Retention
We retain your information only as long as necessary to provide service and meet legal, tax, and insurance recordkeeping obligations:
- Active customer records — retained for the duration of the business relationship plus four (4) years thereafter.
- Payment and invoice records — retained for seven (7) years for tax and accounting purposes.
- Inquiry submissions that don't become customers — retained for two (2) years, then deleted.
- Service photos and documentation — retained for the duration of the business relationship plus four (4) years.
07Your Rights
You can request at any time:
- A copy of the personal information we have about you
- Correction of any inaccurate information
- Deletion of information no longer required for service or legal recordkeeping
- Removal from our contact lists

08Children's Privacy
Our services are sold to property owners and businesses. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly.
09Changes to This Policy
We may update this Privacy Policy as our business or applicable law changes. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes will be communicated by email to active customers and posted to this page at least 30 days before taking effect.
